Purpose

To inform agencies of the list of active position pools and the crosswalk between the current mapping and the new SFS chartfield strings

Affected Employees

The accounting, reporting and payroll distribution data for all employees paid through PayServ will be affected

Background

The State adopted a new Chart of Accounts (COA) in 2012 when it implemented the Statewide Financial System. OSC is now aligning personal service charges with the new COA. Following this conversion, agencies will be able to compare data across PayServ and SFS, allowing for easier reconciliation of payroll charges.

Administration pay checks dated June 3, 2015 and Institution pay checks dated June 11, 2015

OSC Actions

OSC Payroll has created a crosswalk that includes the current agency position pools for each PayServ Department ID and the SFS chartfield strings they will convert to effective the first paycheck in April.

The crosswalk provided contains accounting data from the position pool as well as SFS chartfield strings mapped on the COA Profile as of May 4, 2015.

OSC Payroll will be using this data to convert the PayServ system beginning on May 21, 2015.

Agency Actions

Agencies should review the conversion document attached below or on the Chart of Accounts Conversion page of the OSC website and inform OSC Payroll as soon as possible for any discrepancies before May 11, 2015.

Any change requests made after this date will not be processed until the PayServ COA Conversion is completed.
