Training Schedule for Agencies in Conversion Group 2

Purpose

This bulletin provides information on PaySR training for Conversion Group 2, including the new course titled, Reveal Reporting.

The attached training schedule applies only to agencies in Conversion Group 2. Specific training dates for agencies in Conversion Group 3 will be provided in August. This bulletin is being sent to all Payroll Officers and Agency Liaisons.

Coach Training

The role of a coach is to coordinate PaySR training within their agency and serve as a first point of contact. Agency Coaches will attend a four-day course which includes 19 hours of Computer-Based Training (CBT). This is the same CBT course that will be taken by all end users. Also included is a one-day Train-the-Coach session, in which participants will discuss their roles and responsibilities and learn how to coach others, as well as have the opportunity for informal discussion with PaySR functional staff. On the fourth day of training, coaches will complete CBT, work with online help and do exercises using the training data base.

Attachment A provides the Train-the-Coach course description and dates for Conversion Group 2.

CBT Training

Agency Coaches will schedule CBT training for all end users. CBT training for agencies in Conversion Group 2 begins August 3 and should be completed by September 9. This training can be completed at the employee’s PaySR work station, in an agency computer lab or at a regional PaySR training lab. If you plan to use an agency computer lab, it is your responsibility to make the necessary arrangements to have the lab connected to PaySR.

Instructor-Led Training

Coaches will schedule appropriate staff for three instructor-led courses: PaySR for Supervisors and Managers, PeopleSoft Query in PaySR and Reveal Reporting.

PaySR for Supervisors and Managers - This half-day course will explain the functions of the new payroll system and demonstrate how to view information in PaySR. It is designed for users who supervise payroll employees, but will not input information on a day-to-day basis. Participants are encouraged to take introductory CBT training prior to attending the course.

Attachment B provides the course description, suggested prerequisites, and dates for PaySR for Supervisors and Managers.

PeopleSoft Query in PaySR - This one-day course will teach agency payroll data analysts and technical personnel how to design and execute queries in PaySR. As seating is limited, agencies should select two employees who can best serve the agency’s query needs.

Attachment C provides the course description, suggested prerequisites, and dates for PeopleSoft Query in PaySR.

Reveal Reporting - This new half-day course explains how to view, search, print or save standard PaySR reports.

Attachment D provides the course description, suggested prerequisite, and dates for Reveal Reporting.

 Next Steps for Conversion Group 2

  • By June 26, Liaisons should work with Agency Coaches to select Session I, II, or III for coach training. (We recommend coaches attend training together, but agencies may divide coaches among sessions if needed.) A final coach registration list (agency, agency code, participant name, phone, fax, e-mail address and session selected) should be provided to Theresa Flynn (fax (518) 473-5073, or e-mail [email protected]).
  • By June 26, Coaches should develop participant lists for the PaySR for Supervisors and Managers and PeopleSoft Query in PaySR and Reveal Reporting courses, indicating first and second choices for dates from Attachments B, C and D. Lists should be submitted to Theresa Flynn (see above). These lists will be finalized during the Train-the-Coach sessions.
  • By August 7, Liaisons should ensure that agency computer training labs are connected to PaySR. PaySR Train-the-Coach Course Description
Course Overview Agency coaches will be trained to support end users at agency sites on the use of PaySR. During this course, participants will gain a better understanding of the role and responsibilities of a PaySR Agency Coach. Coaches will also complete PaySR Computer-Based Training.
Audience Agency staff who will be responsible for coordinating PaySR training within their agency and will serve as the first point of contact to provide on-site resolution of day-to-day questions.
Course Objectives Upon completion of this course, participants will be able to:
  • Explain the role and responsibilities of the coach
  • Recommend the required CBT and Instructor-Led Training courses for the appropriate users
  • Handle CBT administration and scheduling for agency participants
  • Describe effective coaching techniques
  • Answer common questions that may arise during and after PaySR training
  • Troubleshoot problems and contact appropriate resources for help
  • Explain agency-specific processes and changes

Attachment B

PaySR for Supervisors and Managers Course Description
Course Overview This course is designed for managers and individuals who supervise users of the PaySR system, but will not use the system day-to-day. Participants will gain an understanding of the major functions of PaySR and how it differs from the existing payroll system.

Participants will learn the basics of viewing information in PaySR (e.g., view an employee’s paycheck data). This material is intended for users who need to see, but not modify, information in PaySR.

Audience Payroll supervisors and managers.
Prerequisite The following four lessons of the PaySR Computer-Based Training (CBT) are strongly recommended, but not required.

Attachment C

PeopleSoft Query in PaySR Course Description
Course Overview This course is designed for select users who need to generate queries for their agencies. They will create and execute these queries using PeopleSoft Query (PS Query). This course will teach the mechanics of PS Query and will provide an introduction to PaySR records and data needed to create queries.
Audience Two users from each major agency - one technical resource and one business analyst; in the case of larger agencies, more than two users per agency may attend.
Prerequisites Technical Resource Prerequisites:
  • High-level understanding of relational databases
  • Experience with any spreadsheet package
  • Windows Proficient

Business Analyst Prerequisites:

  • Understanding of payroll process
  • Understanding of payroll data
